Purpose:
This policy sets out the requirements for use of PPCEducate.
PPCEducate is a not-for-profit digital platform (Learning Management System – LMS) supporting the South of England Paediatric Palliative Care Education Network and is endorsed by the Association of Paediatric Palliative Medicine.
Applicability:
This policy applies to all users of PPCEducate. It covers access to the LMS for the purposes of participating in, developing, implementing, administering or supporting online learning experiences.
Content inclusions:
To be included in the LMS, the learning program or resource must:
- Support PPCEducate’s mission, values and strategic goals
- Be created, facilitated or ratified by members of the associated Education Network
- Comply with professional standards from the individuals background and registered body, including but not confined to the General Medical Council (GMC), Nursing and Midwifery Council (NMC) Code and Teachers’ Standards
- Any written, verbal or video content or non-anonymised patient/parent stories are used after ensuring understanding, capacity and consent freely given, and the patient/parent has a direct contact for removal of their content at any time
- Items excluded from the LMS:
- Political or other messages, announcements, policy statements or other communications that are not endorsed by a member of the PPCEducate board or the Education Network
Course creation:
Creation of fully or partially online learning programs within the LMS is approved by the LMS administrator and/or PPCEducate project lead. Please approach the Education Network for requests and suggestions.
Content ownership:
The PPCEducate platform and any content produced on it are owned by the PPCEducate board.
The identified course lead and/or the Curriculum group of the Education Network are responsible for ensuring content is relevant, up-to-date, accurate and in compliance with any applicable local or copyright laws. They are also responsible for backing up their course content.
Learner enquiries related to the course/content/platform are the responsibility of PPCEducate administrators/project lead.
All course leads where identified are required to participate in scheduled content reviews.
Content review and retention:
The PPCEducate board is responsible for monitoring usage of learning programs. Active courses will be subject to a mandatory review cycle every three years in coordination with the PPCEducate project lead. LMS adminstrators or the Curriculum group reserve the right to require review earlier than two years, at their discretion.
Online courses meeting one or more of the following conditions will be archived:
- Not accessed in more than 12 months
- Not offered in more than 12 months
- Not reviewed in more than 3 years
Archives will be kept for a maximum of 3 years from creation.
Role permissions:
The following roles and responsibilities are explicitly stated:
Learner = student level permissions as set out in the LMS configuration
Educator = editing teacher ability to create and edit content as per LMS configuration
Manager & Course Creator = overall site administration and course creation
User access:
The PPCEducate board are responsible for ascribing appropriate level user access to different areas of the LMS. This would usually follow the following principles:
- An existing resource, link or suggestion freely available online would be available through guest access
- Content using patient/parent stories accessed through a designated account using unique user credentials, enrolled by PPCEducate administrators
- Self-enrolment or pay-on-enrolment methods can be used at the discretion of the PPCEducate board
- Accounts will be deactivated if not accessed for 12 months.
Policy compliance:
Non-compliance with this policy may lead to investigation by the PPCEducate board, archival or removal or learning programs or temporary or final suspension of users. The LMS administrator has the authority to remove or disable access to the LMS.
Personal data:
Data (including name, email address and area of work/role) are collected for the purpose of personal learner record and PPCEducate platform development and reporting (anonymised, collected at course level or platform wide).
It is stored within the platform itself where individual learners can update, change or hide profile details as per LMS configuration, and in a closed filing system accessible to PPCEducate project lead and administrators.
Specific data requests can be made through the PPCEducate board.
Personal details will not be passed onto any third parties.
If a user no longer wishes to be on the LMS platform their account will be deactivated and deleted within 30 days of request.
